Where your customers' data goes —
stated plainly, upfront
Before your customers' phone numbers, chats, and history live in one system, you should know where that data is stored, who on your team can see it, and how AI uses it.
Where data lives, and who can see it
Data is split by service, not kept in one place — chat messages, contact records, and billing information each sit in their own database. Every access is checked against a token issued at login; the system reads which workspace you belong to only from that token, never from a link or a domain. One shop cannot browse another shop's data by guessing a URL.
Inside one shop, how much a person can see depends on their role. The owner sees and can change everything. An admin sees everything except billing and permission management. A supervisor sees every conversation across the whole team. An agent sees only conversations assigned to them, or ones nobody has claimed yet — not a teammate's. This is enforced on every data fetch, not by hiding a button on screen.
Does AI train on your customers' chats?
No. Every AI request carries an explicit instruction telling the model provider not to use the message for training. A provider that will not agree to that is automatically excluded from being used.
To be precise about what this covers: this is a routing instruction applied when choosing a provider, not a guarantee chatnoww enforces at every downstream step — we cannot independently verify the internal logging policy of a provider we do not operate. AI is also off by default on every new shop; a shop turns it on deliberately and chooses whether it drafts replies for review or sends them automatically.
Channel connection credentials
The tokens and secrets used to connect a shop's LINE or Facebook/Instagram channel (access token, channel secret, refresh token) are encrypted before they are stored, using AES-256-GCM. What sits in the database is not a usable value — it cannot be read back without the server's own key.
To be precise: the message content customers type is not encrypted at this same layer. It is stored as plain text so the inbox can search and display it quickly. What protects that content is the database separation and role-based access described above, not encryption of the text itself.
What actually happens when someone asks us to delete their data
A shop's own customer can ask to have their data deleted through the channel they messaged on. For Facebook Messenger or Instagram, they remove the app from their Facebook account settings; Facebook then sends chatnoww that request with a signature we verify before doing anything. Once verified, we permanently delete that person's conversations and messages from the database — not a hide, an actual delete — and send back a confirmation code and a status link.
This automatic path is wired up for Messenger and Instagram today. For channels without an automated deletion callback yet, the customer can contact the chatnoww team directly, as described in the privacy policy, and the request is handled manually.
What this removes is the conversation and message history on that channel. It does not automatically remove the contact record a shop keeps in its own CRM (name, phone number, tags, notes) — that is separate data the shop owns. Removing a contact from a shop's own contact list takes it out of the visible list today; if a shop needs it permanently erased from the database, contact the chatnoww team through the channel listed in the privacy policy.
We do not hold a third-party security certification (such as SOC 2 or ISO 27001) today. What is described above is what the system actually does right now, not an external audit's conclusion.
